How Venvu handles personal data in line with UK GDPR and the Data Protection Act 2018.

1. Who we are

“Venvu”, “we”, “us”, or “our” refers to Future IT Ltd t/a Venvu, a company incorporated in the United Kingdom (company number 06349255), with registered office at Brentwood, Essex, UK. We are the controller for personal data we collect about website visitors, prospects, and our direct customers. For end‑customer data processed on behalf of our business customers, we act as a processor and our customer is the controller.

2. Scope

This policy applies to our websites (including venvu.ai), apps, and services. Where we process personal data as a processor for our business customers (e.g., their clients’ booking details), our Data Processing Addendum (DPA) governs.

3. Data we collect

  • Account & contact data: name, email, company, role, phone.
  • Billing data: payment method, billing address, transaction records (processed by our payment provider).
  • Service data: booking details, staff schedules, messages and requests via phone/SMS/WhatsApp/web, files you upload.
  • Technical data: IP address, device identifiers, log data, cookies/SDK events.
  • Support data: tickets, chat transcripts, diagnostics.
  • Marketing data: newsletter opt‑ins, preferences, campaign interactions.

4. How we collect data

  • Directly from you (forms, onboarding, support, contracts).
  • Automatically via our apps and websites (cookies, SDKs, server logs).
  • From third parties you connect (e.g., messaging/telephony providers, calendar systems, identity providers).

5. Why we use data (lawful bases)

  • Contract: to provide and support the service, manage accounts, process payments, and fulfil bookings.
  • Legitimate interests: to secure, monitor, improve, and market our services (balanced against your rights).
  • Consent: for optional communications and certain cookies/analytics (you can withdraw at any time).
  • Legal obligations: tax, accounting, compliance, and responding to lawful requests.

6. AI features & automated processing

Venvu uses AI to assist with interpreting inbound messages, matching services and staff availability, and drafting responses. We apply safeguards such as access controls, retention limits, and human‑in‑the‑loop oversight for critical actions. We do not use your end‑customer data to train public models. Where automated decisions produce legal or similarly significant effects, you may request human review where applicable.

7. Sharing your data

We share data with trusted providers who help us run the service (e.g., hosting, telephony/SMS, email, analytics, payments, customer support). We require appropriate contractual and security commitments. We may disclose data to comply with law, enforce agreements, or protect rights, property, or safety. We do not sell personal data.

8. International transfers

Where data is transferred outside the UK, we rely on recognised safeguards such as adequacy regulations or standard contractual clauses plus additional measures where needed.

9. Retention

We keep personal data only as long as necessary for the purposes described, including to meet legal, accounting, or reporting requirements. You may request deletion where applicable.

10. Your rights (UK GDPR)

  • Access, rectification, erasure, restriction.
  • Portability and objection to certain processing.
  • Withdraw consent where processing is based on consent.
  • Complain to the UK Information Commissioner’s Office (ICO).

Our services are intended for business use and not directed to children. Do not provide us with children’s data unless lawfully permitted and strictly necessary.
